Klokwise HR & Payroll (“Klokwise”, “we”, “us”) is a workforce management application provided to businesses (“your employer”) to manage attendance, leave, payroll and related HR functions. This policy explains what data the Klokwise mobile and web applications collect, why, and how it is handled.

1. Who Controls Your Data

Klokwise is business software. Your employer is the data controller of the information processed in Klokwise for their organisation; Revelar Solutions Private Limited operates the platform as a processor on their behalf. Questions about how your employer uses your data should be directed to your employer's HR team. Questions about the platform itself can be sent to contact@revelarsolutions.com.

2. Information We Collect

Account and profile information. Name, work email address, phone number, employee ID, department, designation, and profile photo — provided by you or your employer when your account is created.

Attendance selfies and face verification. When you punch in or out, the app captures a selfie using the device camera. If your employer enables face verification, the app compares your selfie to your enrolled reference photo on your device to confirm it is you punching in. Selfies are stored securely and are visible only to you, your managers/administrators, and platform superadmins for attendance-verification purposes. Klokwise does not use face data for any purpose other than attendance verification, does not build biometric templates shared across organisations, and does not sell or share face data with third parties.

Location. When you punch in or out (and, if your employer enables field-visit tracking, during check-ins at client sites), the app records your device's location to confirm you are within your designated workplace geofence. Location is captured at punch/check-in moments — Klokwise does not continuously track your location in the background.

Documents you upload. Leave documents (e.g. medical certificates), reimbursement receipts, tax investment proofs, and similar files you choose to upload. These are visible to you and to your organisation's authorised staff.

Messages. If your employer enables workplace chat, messages you send are stored so they can be delivered and displayed to participants.

Device information. A device identifier used to secure your account to your registered device (preventing attendance fraud), push-notification tokens, and basic diagnostic information.

3. How We Use Information

We use the information described above to: record and verify attendance (selfie, face verification, geofence location); operate HR workflows such as leave, approvals, payroll inputs, reimbursements, documents, chat and announcements; send push notifications your employer or colleagues trigger (approvals, chat, announcements); secure accounts (device binding, authentication) and prevent fraud or abuse; and operate, maintain and improve the platform.

We do not sell personal data. We do not use personal data for advertising. We do not share personal data with third parties except the service providers below.

4. Service Providers

Klokwise runs on Google Firebase (Google Cloud Platform), which provides authentication, database, file storage, and push-notification delivery. Payments made by employers for Klokwise subscriptions are processed by Razorpay; employee personal data is not shared with Razorpay.

5. Data Retention and Deletion

Your data is retained while your employer maintains your account, and handled according to your employer's retention obligations. When your employer deactivates or removes your account, or terminates their Klokwise subscription, associated personal data is deleted from the live platform (subject to legal retention requirements). Klokwise accounts are created and administered by employers; to request correction or deletion of your data, contact your employer's HR/administrator, or write to contact@revelarsolutions.com and we will coordinate with the account owner.

6. Security

Data is encrypted in transit (TLS) and at rest. Access is controlled by role-based rules enforced at the database layer: employees can access only their own records; managers and administrators can access records for their organisation only. Each organisation's data is isolated from every other organisation.

7. Children

Klokwise is workplace software intended for working adults and is not directed at children under 16.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by an updated effective date on this page.
